The mechanics are worth knowing because the timeline works against you. Cardholders generally have around one hundred twenty days from the transaction to file a dispute, so a chargeback can arrive four months after a sale you considered closed. Once filed, many processors give the merchant a very short window to respond, sometimes as little as nine to eighteen days, and the response has to include evidence rather than an explanation. Delivery confirmation, the signed agreement, the communication history, your published refund policy, and proof the customer received what they paid for. No evidence means an automatic loss.

The network monitoring programs get quoted at small businesses more than they should be. Visa formally identifies a merchant as excessive at a one and a half percent ratio, but only once that merchant produces at least fifteen hundred fraud and dispute items in a single month, which a first year business will not approach. Mastercard sets a lower bar at one hundred chargebacks and a similar ratio. The real risk for a small merchant is different: your processor is measured on its whole portfolio and has its own much tighter limits, so it will drop or restrict an account that looks risky long before any network threshold is reached. You are managed by your processor, not by Visa.

Which leads to the practical conclusion, and it is counterintuitive. Refund quickly and generously, including in cases where you believe you are right. A refund costs you the sale. A chargeback costs you the sale, the fee, the time spent responding, and a data point that follows the account. Fighting a forty dollar dispute to prove a point is a poor trade even when you win, and disputes filed by genuinely confused customers are usually cheaper to resolve directly than to contest.

Most of prevention is unglamorous and it works. Make sure the name that appears on the card statement is one your customer will recognize, because a large share of disputes are people who did not recognize the charge. State your refund policy where somebody sees it before buying and honor it without argument. Send a receipt immediately and a shipping confirmation with tracking. Answer support messages fast enough that going to the bank never becomes the easier path. And keep records for at least six months, because that is how long a dispute can take to arrive and evidence is the only thing that wins one.
